Job Title: Executive Project Administrator
Job Type: Full-time
Job Summary
The purpose of this position is to provide high-level administrative support to the Chief Information Officer and Executive Director in a fast-paced environment. This person is also responsible for the development, coordination, and implementation of the tasks associated with the Information Technology Division.
Job Description
  • Maintain project documentation, write correspondence, take meeting minutes
  • Maintain project data, documentation and files
  • Schedule and coordinate meetings, tasks and deliverables
  • Communicate with and keep vendors, partners, clients and project teams updated on project status
  • Organize workload, setting priorities to meet project demands
  • Develop and prepare reports, letters, group emails and memos
  • Organize and update the department’s portion of the Intranet
  • Process incoming and outgoing mail
  • Maintain contact lists
  • Assist CIO and Executive Director of IT with projects, meetings, travel and event coordination
  • Maintain and/or create project plans
  • Ensure timely and accurate communication with project staff throughout the life cycle of a project

Job Requirements
  • 2-5 years of administrative and project coordination experience
  • Proficiency in Microsoft Word, Outlook, Excel, PowerPoint and Access; MS Project is a plus
  • Prior experience with web-based collaborative tools; Sharepoint 2007 and EPM Live experience is a plus
  • A stable work history
  • Extreme attention to detail
  • Visio experience is preferred
  • Excellent communication, organizational and time management skills
  • Ability to function with minimal direction and supervision
  • Exceptional presentation and interpersonal skills
  • General IT knowledge is beneficial
